Membership is determined by the client going through a service selection process and can be comprised of one or a combination the following Services:
- Massage – Holistic, Deep Tissue, Sports or Pregnancy massages
- FiiT Online Workouts – online gym and mental health
- Physique – wellbeing and injury products/equipment provider
- Affinity – independent financial advisors
Body Mechanics Membership is per person.
Membership can be bought on behalf of multiple people, but it cannot be transferred to others partway through.
Body Mechanics Contractors and their Partner Providers expect to be treated with respect and this will be reciprocated. Any inappropriate behaviour will result in the termination of your membership and without refund.
Unless otherwise agreed, Memberships are taken on a flexible 12 month period with the option to pause the service twice, potentially extending the membership to a 14 month period. Membership pauses are only applicable on the Massage part of the Membership.
DISCLAIMER AND CLIENT DECLARATION - MASSAGE ONLY
Each of our clients will be asked to read through and sign our Disclaimer and Client Declaration as part of the consultation process. Your Therapist will provide you with this either via email or at the beginning of your appointment.
If you have any questions and/or require clarification, your Therapist will be happy to run through the details with you.
Once you are satisfied that you fully understand and accept all the points included in its content, you will be asked to sign and date the consultation form.
It is your responsibility to ensure that the consultation form is filled in accurately and comprehensively.
If you choose to withhold information, the Therapist will not be held accountable for any negative or detrimental outcome of your treatment. For the same reason, it is your responsibility to keep the Therapist informed of any changes in your health.
FiiT ONLINE WORKOUTS
It is the client’s responsibility to ensure they are fit and healthy, prior to doing any of the FiiT workouts. Please consult your GP to carry out an assessment.
Neither Body Mechanics or FiiT are liable for any injuries incurred.
PHYSIQUE
It is the client’s responsibility to liaise directly with Physique. This includes the ordering of goods, the tracking of shipments, the delivery of goods, arranging the returns of goods and/or leaving review of products.

AFFINITY IFA
Body Mechanics will initially liaise with Affinity on behalf of the client to establish requirements and to make introductions. As the relationship progresses, Affinity and the client will liaise directly, keeping Body Mechanics in the loop with any further developments.

DURATION
Membership is paid either every 2 weeks, every month, every 6 weeks, every two months, or every three months over a 12-month period and is non-refundable.

Payment will be taken on a pro-rata basis depending on the frequency you have selected.

We also offer advance payments for Massage which provide you with 1 massage a month for specific membership period.

For Private Clients, payment will be made through the Body Mechanics Website https://www.bodymechanics.co.uk using the Acuity booking system, linked to Stripe payment processing system. Invoices are available upon request.
For Corporate Clients, payment is dependent on both the structure of the service and the actual services required. There are three payment options available:
- Paid wholly by the corporate
- Subsidised, usually a 50/50 split
- Individual employees pay
We recommend that services paid wholly by the corporate and those that are subsidised are paid through the corporate’s usual invoicing system. Any remaining subsidy can then be paid by employees directly using the Acuity/Stripe systems.
For individual employees paying for themselves, we recommend that the Acuity/Stripe systems are used.
Invoices will be issued to corporates and are available upon request for individual employees.
No payment is to be made directly to Body Mechanics Contractors or Partner Providers, other than Affinity IFA.
Membership costs include service delivery, insurance, PPE, kit/equipment, administrative tasks and systems, plus travel where relevant. Should any other costs arise, the client will be informed.
Parking, Toll Roads, Congestion Charges and other travel restrictions are to be covered and paid for by the client.
LOCATION
Massage for Corporate Clients - any location will be considered and is dependent which services are taken and on the number of employees having access to these services.
Massage for Private Clients Only - available at the locations below:
Hertfordshire - Tring, Berkhamsted, Hemel Hempstead, Harpenden, Kings Langley, Watford, Rickmansworth, Bushey, Borehamwood, Elstree, Radlett, St Albans, Abbots Langley, Hatfield, Welwyn Garden City and areas in between.
Bedfordshire - Dunstable, Flitwick, Ampthill, Leighton Buzzard, Heath and Reach, Woburn, Barton-le-Clay, Houghton Regis, Luton, Caddington, Toddington, Maulden, Eaton Bray, Tottenhoe, Kensworth, Edlesborough, Studham, Whipsnade
Buckinghamshire - Chesham, Denham, Gerrards Cross, Bourne End, Aston Clinton, Beaconsfield

VALIDITY DATES
Body Mechanics Membership is valid for 12 months.

It is possible to allow for flexibility in booking Massage appointments to accommodate illness, holiday and unforeseen circumstances. This will be at Body Mechanics discretion and is an exception, not the norm.
Service Level Agreements (SLA’s) AND SERVICE SUPPORT
Depending on your choice of Membership, service delivery will be carried out by Body Mechanics including Contractors working under the Body Mechanics brand, as well as Partner Providers - FiiT, Physique, and Affinity.
All Body Mechanics Contractors will be appropriately qualified and insured.
The relevant Partner Providers will honour the 12-month duration of the Body Mechanics Membership to which clients subscribe, or as appropriate.
Partner Providers and Contractors may change depending on Body Mechanics business requirements.
SLA’s have been put in place between Body Mechanics and each of our Partner Providers – FiiT, Physique, and Affinity – for service/product delivery to Body Mechanics Members.
Body Mechanics is not directly liable for any of the service/product delivery from our Partner Providers, however we will provide full support to both our client and our Partner Provider as far as is possible, in ensuring that these SLA’s are upheld at all times.

DATA PROTECTION
Client details are used solely for the purpose of service delivery, payment transactions and communications.
Clients can opt-in or opt-out of Body Mechanics communications at any point.
All client details are stored and processed securely at Body Mechanics and on Acuity Booking System and Stripe Payment Processing system.
SLA’s are in place with both Providers to ensure the secure storage and processing of data.
Body Mechanics Remedial is not liable for the Data Collection, Sharing, Storage or Use processes or practices of any Business Service or Partner Providers – we rely on these to adhere to the appropriate best practice and legal requirements. BODY MECHANICS’ CONTRACTORS, SERVICE PROVIDERS AND PARTNER PROVIDERS
Contractors, Service Providers and Partner Providers are sourced as deemed appropriate by Body Mechanics.
Clients will be notified to any addition or change of Contractor, Service Providers and/or Partner Providers as necessary.
Body Mechanics will do its utmost to ensure continuous service delivery at all times. Any disruptions, for whatever reason, will be compensated according to Body Mechanics’ and/or Partner Providers SLA’s.
Should Body Mechanics be unable to provide a Massage session for whatever reason, the agreed compensation will be discussed with the client directly. Example, but not exhaustive, compensations may be:
- an extended rescheduled Massage session eg 60 mins rather than 45 mins at no extra charge
- delivery of the original massage with a partial refund of 25%
- access to FiiT at a reduced fee, to be agreed

Keeping our clients and Body Mechanics Contractors, Business Providers and Partner Providers is of paramount importance.
